A useful architecture for device punch sync, branch identity, exceptions and monthly attendance reporting. This guide focuses on practical decisions and responsible implementation, not promises of instant results.
Know the device data before starting
Confirm device make, firmware, supported push protocol or API, serial number and actual punch format. Card swipes and fingerprint events should both be interpreted through the device’s recorded event fields, not guessed from user identity.
Map each machine to its location and create one employee master record per person. Reused or changed employee codes create misleading attendance if this mapping is skipped.
A safe event flow
A useful flow is Device → authenticated receiver → raw event storage → de-duplication → attendance rules → reports. Retain the original events so a calculation can be reproduced after shift definitions change.
Validate timestamps and time zone, and plan for connectivity outages. Devices may resend buffered events, so duplicate detection should be based on a stable combination such as serial, user, timestamp and punch type where available.
Approval and reporting
Separate raw punch events from approved attendance results. HR needs a process for missing punches, late exceptions, holidays, overnight shifts and genuine manual corrections.
For payroll export, choose a monthly cut-off and require sign-off. Compare sample employees against the actual device exports before trusting any automated report.
Always test infrastructure or business-process changes in a controlled environment first. Review your own security, privacy and compliance requirements before going live.
