Design an enquiry-to-follow-up process with lead owners, reminders, audit trails and useful conversion reports. This guide focuses on practical decisions and responsible implementation, not promises of instant results.
Define one lead record
Start with the fields your team genuinely needs: contact details, source, owner, stage, last interaction and next action date. Avoid collecting extra personal data with no clear purpose.
Duplicate leads can hide pending follow-ups. Normalize phone numbers, preserve source history and allow supervisors to merge duplicate records safely.
Assign ownership and next steps
Every new lead should have a responsible owner and a visible next-action deadline. An assignment rule can consider team, branch or workload, but a human override should be possible and logged.
Useful stages are New, Attempted Contact, Qualified, Follow-up, Won and Closed. Stage changes should not silently erase previous remarks.
Measure what matters
Show overdue callbacks, first response time and open workload by owner. Do not rely on impressive-looking dashboard counters that cannot be traced to actual records.
Pilot with a handful of users, inspect real cases and improve notification timing before switching on large-scale automation.
Always test infrastructure or business-process changes in a controlled environment first. Review your own security, privacy and compliance requirements before going live.
